Receptionists are the most important contact point for all concerns of hotel guests, at the same time they are the business card of the house. They are responsible for the well-being of the guest from arrival to departure.

What are the tasks?

The receptionist accompanies the guest from their arrival, check-in through their stay until their departure. Receptionists welcome guests with a warm smile, ask them about their well-being and take care of personal requests and concerns. As one of the most important interfaces between the guest and the hotel, they should always have an overview of the booking situation and know who is arriving and departing and when.

Receptionists are one of the first points of contact for guests' wishes and possible problems, but they are also responsible for a smooth flow between departments and, depending on the hotel, they are also the point of contact for suppliers and tradesmen. Receptionists are also responsible for handling email and letter correspondence with guests.

They often also create invoices for the guest, maintain the online booking system that guests use to reserve a room, and prepare invoices for the accounting department.

What are the requirements?

The work as a receptionist is usually preceded by a completed training as a hotel specialist, hotel clerk or assistant in hotel management. For this profession, an open-minded and friendly nature is just as indispensable as independent and goal-oriented work. At the same time, receptionists think in business terms. They have good manners as well as a confident manner and strong communication skills. In addition, the profession requires a high degree of flexibility, as they often work in shifts. Because of the constant contact with international guests, knowledge of foreign languages and a high degree of discretion are mandatory.
